If you’re away or managing multiple listings, the Delegate Code feature ensures secure pre- and post-trip photo documentation without the security risk of sharing your login credentials.
It allows you to authorize a third party or a delegate to upload handoff photos directly to a booking—even if they don’t have an Outdoorsy account. This is useful for Hosts who outsource photo-taking to property managers, family members, assistants, or Co-hosts.
How do I use the Delegate Code?
A delegate code is a unique 6-digit numeric code tied to a specific booking. After you have generated the code, you can share it with the Delegate.
Once the Delegate has the code, they can open the Outdoorsy Host app, enter the code, and upload departure or return photos on your behalf.
Who can be a Delegate?
A Delegate can be anyone you trust to handle the handoff process. They could be anyone from property managers, family members, assistants, or Co-hosts.
You also don't need to worry about giving Delegates full access to your Outdoorsy account. As long as they have the Delegate Code you generated, they can access the app's secure in-app camera to document an RV's pre- and post-trip condition.
For Hosts: How Do I Create and Share a Delegate Code?
The process of creating and sharing a Delegate Code was made easy for every Host. You can create and share a Delegate Code by simply following the steps below:
Step 1: Generate a Delegate Code
Open the Outdoorsy Host app and sign in to your account
Navigate to Bookings and select the booking you need help with
In the booking's Trip details page, look for the "Allow others to upload photos on your behalf" option
Tap Generate code
A 6-digit code will be displayed (formatted as "123 456" for readability) for you to share
Step 2: Share the Delegate Code
Once your code is generated, you have two sharing options:
Share: Opens the standard "share sheet" so you can send the code via text message, email, WhatsApp, or any messaging app
Copy: Copies the code to your clipboard so you can paste it anywhere
Note that the shared message will include both the code and the booking number for context, for example:
"Use code 123456 to upload handoff photos for booking 12345 on Outdoorsy."
How long can the Delegate Code remain valid?
Your Delegate Code remains valid until the handoff is completed, unless you choose to revoke the code. Note that after the booking's handoff process is finished, the code automatically expires.
Please also note that you can have only one active code per booking at a time.
What's Revoking a Code for?
If there's a need for you to regenerate a code for another Delegate or if you need to prevent further use of a delegate code, simply follow the steps below:
- Return to the booking's delegate code screen
- Tap Revoke code
- Confirm the action when prompted
Once revoked, anyone attempting to use the code will see an error message. You can generate a new code at any time if needed.
How do I Regenerate a Delegate Code?
If you need a new code (for example, if the old one was shared with the wrong person), simply revoke the current code and generate a new one.
For Delegates: How Do I Use a Delegate Code?
If you're a Delegate and have the Delegate Code generated by the Host, you can access the Outdoorsy Host app camera to help the Host take pre- and post-trip photos for a booking.

What are the requirements to use the code?
To be a Delegate, you just need:
- The Outdoorsy Host app is installed on your phone (available on iOS and Android)
- The 6-digit Delegate Code provided by the Host
Note that you do not need to log in or have an Outdoorsy account to be able to use the Delegate Code and upload photos.
I got the code now. How do I upload photos?
Once you have the Delegate Code, you may start helping the Host take and upload RV photos via the steps below:
Open the Outdoorsy Host app
Go to the Camera tab
Look for the link that says "Taking photos on behalf of another Host?" and tap it
Enter the 6-digit code provided by the Host
Tap the "Submit" button and begin uploading photos
How to know if the Delegate Code I received is valid?
If the code is valid, you'll see booking information including:
- The rental name (e.g., "Diesel Coachmen Prism")
- The Guest's name
- Booking dates
- Pickup location
Once you've confirmed that the code is valid, you can start using the in-app camera to take and upload handoff photos just like the Host would. Photos you upload will appear in the Host's booking handoff.
Is there a difference between what a Delegate can do and what the Host can?
Yes, Delegates are only limited to taking and viewing a booking's pre- and post-trip photos. Please refer to the sections below to learn more about what a Delegate can and cannot do:
What you can do as a Delegate:
- Take and upload departure photos
- Take and upload return photos
- View photos already uploaded for this handoff
What only the Host can do:
- Categorize photos (interior, exterior, damage, etc.)
- Add descriptions to photos
- Mark damaged areas on the uploaded photos
- Complete the handoff process
I'm a Delegate, and I received an error message when I used the code. What should I do?
If you encounter an error while trying to use your delegate code, don't worry. Most issues are related to simple entry errors or code expiration

How long does a delegate code last?

Can multiple people use the same code?
Answer: Yes, anyone with the 6-digit code can upload photos for that booking.
Do I need an Outdoorsy account to use a delegate code?
Answer: No. Delegates can upload photos without logging in — the code itself provides the necessary access.
What happens to the photos I uploaded if the code expires?
Answer: All previously uploaded photos are saved and remain associated with the booking. Only the ability to upload new photos is affected.
Can I remove a booking from my delegate list?
Answer: Yes. In the Camera tab, you can remove any saved delegate booking from your list. If you need to upload more photos later, you'll need a new code from the Host.
I'm a Host, can I still complete the Digital Key Exchange if a Delegate initiated the photo submission?
Answer: Having a delegate assist with photo documentation does not limit your administrative control or affect the functionalities available to you within the Digital Key Exchange.
While a delegate can take and view photos, they cannot officially sign off or complete the handoff process. As the Host, you retain the exclusive authority to categorize photos, add descriptions, mark damaged areas, and provide the final signature required to officially close out the booking.
