The great news? The Outdoorsy Host app can now completely and reliably support the whole key exchange process, as it has been 100% digitized, making your documentation secure and modernized—no more paper forms are required!
Not just that, since the app now supports flexibility, you can sign your portion of the rental contract as soon as the booking is confirmed. This flexibility means you and your Guest can complete the agreement documentation ahead of time, allowing you to focus entirely on the essential vehicle walkthrough during the key exchange!

Getting Started: Your Pre-Trip Checklist
Before your Guest rolls out, you'll tackle these essential steps in the app. This is how you digitally track the full walkthrough:
Prior to the Guest's arrival, make sure your listing's 90-day inspection is current.
1. First Things First: Sign the Paperwork (Digitally!)
The pre-trip process begins with finalizing the contract:
- Head over to the Trip details page for your booking.
- Tap on the Sign rental contract option.

You'll then acknowledge the rental terms and provide your digital signature.
By signing, you are digitally certifying your agreement to the rental terms and officially fulfilling the Host's requirement for the key exchange documentation. This signature must be completed before the Guest departs.
2. Next Up: Your Claims-Compliant Photo Session
This is where you document your RV's initial condition. Remember, the app uses its own camera to ensure the photo evidence is 100% trustworthy (it records a non-editable timestamp and GPS).
- Tap Upload pre-trip photos (or head to the Photos tab).

Hit the Take photos button to open the in-app camera. Snap all those required shots (Exterior, Interior, Dashboard, etc.).
Offline Capability: Low signal? No problem! You can still take photos; they'll save locally and upload automatically later.
- For each picture, tap the Edit photo icon. This is important! Use it to tag the photo (Exterior/Interior), flag pre-existing damage, and add a custom description.
3. Log the Starting RV Mileage or Generator Data
- If your RV listing tracks them, don't forget to enter the starting mileage and generator hours before your Guest departs.
Guest Return: Wrapping Things Up
When your Guest returns the RV, you’ll complete the Post-Trip Key Exchange to finalize fees and document the vehicle's final condition.
1. Quick Assessment and Inquiry
- Manually inspect the RV with your Guest and ask them about their trip—it's a great time to check for any new issues!
2. Required Post-Trip Photos (Essential for Claims)
Completing this step ensures your documentation is complete for any potential claim.
- Go to the Photos tab.
- Confirm the question: Did any damage occur on the trip? (Yes or No).
- Tap the Upload a photo (+) option and take fresh, new photos documenting the vehicle’s return condition. If damage is present, take detailed pictures of the specific issue.
- Use the Edit photo option to tag and describe any new damage.
3. Process Charges, Fees, and Claims (If applicable)
Tap the Collect charges button on the Trip details page. You will be taken to a new screen to finalize charges and claims.
- File a Claim: The File a claim button is visible near the top of this screen. Tap this (if applicable) to begin the insurance claim process for covered damage.
- Review & Process Charges: You must scroll down to find the Post trip charges and Penalties sections. Here, you will:
- Log Final Data: Enter the RV's ending mileage and generator hours (if applicable).
- Calculate Fees: Process any overages or fees (e.g., mileage, cleaning).
- Finalize: Hit the Charge button to submit all fees and finalize the post-trip charges.
How Your Digital Actions Fulfill the Walkthrough
The digital process is more reliable than paper because your actions become certified data:
- Photo Evidence: When you snap a photo using the in-app camera, the image automatically records a non-editable timestamp and GPS location. When you tag it as Interior/Exterior and add a description, you are digitally completing the Damage Walkthrough and Final Condition Check steps.
- Digital Signatures: Drawing the signature in the app records the mutual agreement between you and the Guest, serving as the official sign-off for the Rental Contract and the digital key exchange documentation.

Using the app for key exchange is essential because it makes your documentation verifiable and reliable:
- Trustworthy Data: Every photo and signature captured via the app automatically records a non-editable timestamp, date, and location, creating certified data.

Digital Sign-Off Requirements
Once all steps are completed, the process culminates in the mandatory digital sign-off.
- Completion: Both you and the primary Guest must complete the digital sign-off within the Outdoorsy app.
- Compliance: This digital sign-off officially closes the rental agreement and fulfills the required documentation. This ensures your booking is fully compliant for any future insurance claim.
